Privacy Policy
Dictivo is built around a simple rule: Local dictation should stay local, and Cloud Fast should be an explicit choice.
Local mode
When you use Local mode, microphone audio is processed on your device. Dictivo does not upload Local recordings or Local transcripts for storage, analytics, or model training.
Local transcripts, history, dictionary terms, snippets, settings, and selected local models are kept on the device where you use Dictivo. You can delete local history from the app.
- No Dictivo account is required for Local dictation.
- Local mode does not send your audio to a transcription server.
- The free Local tier and the 14-day Local trial use the same Local privacy boundary.
Cloud Fast
Cloud Fast is optional. If you select Cloud Fast, Dictivo uploads the current recording so it can be transcribed faster. Use Cloud Fast only for recordings you are comfortable processing remotely.
Dictionary terms, snippets, local history, and local settings stay on your device. The app receives the transcript and then applies local cleanup on your device.
- Cloud Fast uploads only recordings you send through Cloud Fast.
- Cloud Fast is separate from Local mode.
- Your monthly Cloud Fast quota is tied to your active Cloud Fast subscription and device binding.
Usage statistics
Dictivo can send metadata-only usage statistics so setup problems and dead ends can be found. This is off by default. Nothing is sent unless you turn on "Share usage statistics" in Settings (called "Share anonymous usage statistics" before version 0.3.51), and you can turn it off again at any time. Each event carries a hashed device identifier that does not name you. The events describe what happened, not what you said: which setup step was reached, whether microphone access was granted or denied, how long a dictation ran, and how many words it produced. They never include audio, transcript text, file names, or application names.
Separately from that setting, the app reports content-free facts to app.dictivo.app (api.dictivo.app in versions before 0.3.51): once per install, that the app was first opened and, when it is decided, whether microphone access (and on a Mac, accessibility access) was granted, denied, or produced no audio; and, for the Local trial, two milestones — trial start and the first Local transcript successfully copied or pasted. Reports contain a hashed device identifier, platform, app version, the times of those events and a capability flag; the success report adds its time. Failed deliveries may retry. No report contains audio, transcript text, file names or application names.
Both streams go to Dictivo's own endpoint. There is no third-party analytics or advertising SDK in the desktop app. The website records anonymous, cookieless page views and download clicks for the same purpose. If you open dictivo.app/?self=1, the website stores a single flag named dictivo-self in that browser's local storage and stops sending its page views and download clicks; /?self=0 removes the flag.
- Usage statistics are off by default and can be turned off again at any time in Settings.
- No dictation audio and no transcript text is ever included in either stream.
- The full desktop network surface is listed on the security page.
Trial reminder email
If you ask for it during setup or under Settings › Account & Billing, Dictivo stores the email address you type, a hashed device identifier, your interface language, platform, app version and your trial's start date on Dictivo's own server (a database whose primary copy is in Western Europe) for one purpose: to send you one email two days before your 14-day Local trial ends. Dictivo deletes the address from its database the moment that email is sent, and at the latest three days after the trial ends if it could not be sent; the email delivery provider keeps its delivery logs for its own retention period. You can withdraw at any time: cancel in the app, use the link in the email, or write to support@dictivo.app. This is based on your consent; withdrawing does not affect what was processed before.
- Optional, and separate from the usage-statistics setting: nothing is stored unless you type an address and ask for the reminder.
- One email, two days before the 14-day Local trial ends. No newsletter, no other messages.
- Cancel in the app, through the link in the email, or by writing to support@dictivo.app.
Website language
When you open an English address on dictivo.app, the website may show you the same page in your local language, based on the country your connection appears to come from. That country is used only for this request and is not stored. Visitors from Germany and from outside the European Economic Area are taken to their language directly; visitors from other EEA countries stay on the English page and are asked first.
If you choose a language in the language menu or in that prompt, the website sets a cookie named dictivo_lang that contains only that language code, so later visits keep your choice. It lasts up to one year, contains no identifier, and is not used for analytics or advertising. Clearing your browser's cookies removes it.
- Addresses that already name a language, such as /de/ or /zh-hant/, are never redirected.
- Search engines and link previews always see the page they requested.
Purchases, licenses, and support
When you buy Dictivo, the checkout provider handles payment details, billing address, tax calculation, receipts, and payment security. Dictivo receives the information needed to issue and validate the license.
When you follow a recognized campaign or referral link, the website may pass a short source label, such as reddit or google, to checkout. We associate that label with payment events to understand which channels bring purchases. We do not pass dictation content, practice text, search queries, or website visit identifiers to checkout. This does not use cookies or browser storage; visits without a recognized source remain unattributed.
In desktop versions that offer source sharing, you can separately agree to share a registered channel name with your trial milestones and future purchases. The desktop app stores that choice locally for up to 90 days. You can stop future sharing in Settings › Privacy; previously processed statistics are not recalled. Website visitor identifiers, browsing history, audio and transcript text are not passed with the label. This choice is optional and does not affect the trial or purchase.
If you email support, we use your message, email address, order reference, and related troubleshooting details only to answer the request and operate the customer relationship.
- Use support@dictivo.app for purchase, refund, activation, and support requests.
- License checks are used to activate purchases, refresh status, and protect paid features.
- Dictivo does not sell customer contact details.
